Dear Klein,
Firstly, I want to thank you for your support and confidence; it is
appreciated everyday but too often silently.
Secondly, I
want to announce a few endeavors we are working on diligently to
improve our services and communications with you and your office
staff. In the next few weeks we will be deploying an entirely new
platform for our database. This will be transparent to you, but
will make all of our vital functions, including data entry, running
reports, looking up information, and preparing patient statements
faster and easier. Also in the next sixty days, we will launch a
secure section of our website for you to view and/or print patient
statements, updated three times daily. Of course we know that the
security of your patients' information is required, and our website's
security features exceed the recommended guidelines.
The new database
will enable us to develop other features in the future, such as
web based reports for payment information, daily (weekly or monthly)
activity, and direct e-mail" from your office to ours.
While these
enhancements will improve our ability to communicate with you, we
do not want you to think we are abandoning telephonic answers to
your questions for this same information. It is another option,
and once accustomed we know you will use it comfortably. Imagine,
your patient is right there, and you can instantly look up the balance
and even print a statement. You won't need to call us, write down
all the information or have us print the statement and fax it to
you.
When you selected
us we told you we were tenacious and efficient, yet small and friendly.
Our commitment to be just that is why we are making these improvements.
Sincerely,
Frank Smith

Business letter (AFTER)

Dear Dr. Klein:
Physicians Billing
Service is pleased to announce some exciting developments that will
benefit your practice in a variety of ways. You will find that these
changes lead to an upgrade in efficiency and productivity. We look
at these and future improvements as our continuing effort to fulfill
the confidence you and your staff have shown in us.
In technical
terms, we are about to deploy an entirely new platform for our database.
In more straightforward terms, we have added a secure section to
our website, allowing you to view and print patients' statements
on demand, updated three times a day. This also means that all of
your records become more available to you, including web-based access
to patient information, plus daily, weekly and monthly activity
reports. To improve communications, we are adding streamlined access
through direct email messaging from your office to ours.
On our side of the billing process, the new database will make it
faster and easier to enter data, run regular and custom reports
and prepare patient statements.
Please be assured
that none of these changes will require any significant revisions
or training on your part. As an added benefit, the security features
on the database and website will exceed recommended guidelines.
Even with these
technical improvements, we will maintain all established lines of
communication, including telephone, regular mail and email. You
will have a choice of methods, but we are certain the new system
soon will become a comfortable and effective tool.
We believe that
continuous improvement defines a company with a commitment to its
clients. We intend to fulfill that belief.
Sincerely,
Frank Smith
President
